Welcome to LogCycle. These Terms of Service ("Terms") govern your access to and use of the LogCycle platform, including our website, mobile applications, and services provided through them (collectively, the "Service"). By accessing or using LogCycle, you agree to be bound by these Terms and our Privacy Policy.

1. Overview of the Service

LogCycle is a secure platform designed to help schools, nonprofits, and service organizations track, verify, and manage volunteer hours. Access to LogCycle is limited to authorized users only. We do not provide public sign-up or general access.

2. User Roles

There are three types of users on LogCycle:

  • Admins: Organization representatives who manage volunteers, approve logs, oversee groups, and access analytics.
  • Volunteers: Individuals who log their volunteer hours and submit them for supervisor verification and admin approval.
  • Supervisors (Third Parties): Individuals who receive a one-time link to verify or reject a submitted volunteer log. Supervisors do not have access to the LogCycle platform.

3. Eligibility and Access

  • The Service is intended for use solely within the United States.
  • By using LogCycle, you represent that you are authorized by your organization and at least 13 years of age.
  • Access to the Service is granted manually by your organization or by LogCycle's team. Unauthorized access is prohibited.

4. User Responsibilities

You agree to:

  • Use the Service only for lawful and authorized purposes
  • Provide accurate and complete information when submitting logs
  • Refrain from uploading content that is illegal, obscene, defamatory, or infringing
  • Respect the privacy and intellectual property rights of others

5. Data Collection and Analytics

  • We use PostHog to collect limited analytics data strictly for performance monitoring and usage insights. In-app tracking is minimal, anonymous, and complies with all applicable laws.
  • We use a single, strictly necessary cookie within the app to maintain secure user sessions. This cookie is not used for tracking, analytics, or advertising. Our marketing website may use non-invasive analytics tools.
  • Users under 18 may be present on the platform. We adhere to all relevant U.S. privacy laws, including COPPA and FERPA (when applicable).
  • Supervisors only receive access to view and verify individual logs sent via secure email links and do not have access to the full Service.

6. User-Generated Content

Volunteers and admins may create and submit:

  • Log entries with descriptions, hours, and supervisor info
  • Admin-generated content such as group descriptions, and user management

You retain rights to any content you submit but grant LogCycle a non-exclusive license to use that content for the purpose of operating and improving the Service.

7. Email Communication

We use MailerSend and/or MailerLite for:

  • Transactional emails such as supervisor requests
  • Future communications necessary for Service operation

We do not send marketing emails without proper consent.

8. Referral Program

We may offer referral incentives to schools and staff:

  • Schools may receive discounts for each successful referral (limits apply)

All referrals must result in a completed purchase by a referred school. We reserve the right to modify or discontinue the referral program at any time.

9. Payment Terms

We do not process or store payment data. All billing is handled via direct contracts and invoicing between LogCycle and authorized organizations. Users should not submit payment information within the app.

10. Service Availability and Updates

We strive to keep LogCycle reliable and available. However, we may occasionally update, suspend, or terminate parts of the Service for maintenance or other reasons. We will provide notice where possible.

We may use insights and user feedback to improve the platform and its features.

11. Termination

We reserve the right to suspend or terminate any user's access at any time for violations of these Terms or for misuse of the Service.

Organizations may request deactivation or data removal by contacting support.

12. Disclaimers and Limitation of Liability

LogCycle is provided “as-is” without warranties of any kind. We do not guarantee that the Service will be error-free, uninterrupted, or completely secure.

To the fullest extent permitted by law, LogCycle and its team are not liable for any indirect, incidental, or consequential damages arising from your use of the Service.

13. Modifications to These Terms

We may update these Terms from time to time. We will notify account-holding organizations of any material changes. Continued use of the Service after changes means you agree to the revised Terms.

14. Governing Law

These Terms are governed by the laws of the State of Georgia, without regard to its conflict of laws rules. All disputes must be handled in a court of competent jurisdiction within that state.
