LogCycle ("we," "our," or "us") provides a web and mobile platform to help organizations track, verify, and manage volunteer hours. This Privacy Policy describes how we collect, use, and protect your information when you use our service.

1. Who This Policy Covers

This policy applies to:

  • Admins who manage the platform within their organization
  • Volunteers who log their hours
  • Supervisors who verify logs via email links (without platform access)
  • Visitors to our marketing website

2. Data We Collect

We collect only the data needed to operate the platform effectively and securely.

A. From Admins and Volunteers:

  • Name (optional): Identification within the organization
  • Email address: Login, account verification
  • Organization/group info: Ties account to the correct organization
  • Log data (title, description, hours, supervisor info): Core feature of platform

B. From Supervisors (via email link only):

  • Name, email, phone (submitted by volunteer): For verification of specific logs
  • Log comment or decision: Confirms or denies volunteer entry

Supervisors do not have access to the LogCycle platform and only interact via a secure, one-time verification link.

3. How We Use Data

We use the data we collect to:

  • Operate and maintain the LogCycle service
  • Facilitate verification of volunteer hours
  • Provide reports and tools to admins
  • Improve and troubleshoot the platform
  • Communicate with users about their account or actions taken

We may also use aggregated, non-identifiable data to understand usage patterns and improve product features.

4. Analytics and Tracking

We use PostHog to monitor basic platform usage. We do not:

  • Autocapture every interaction
  • Record sessions or keystrokes
  • Track personal identifiers across users

All analytics in the app are minimal, anonymous, and comply with student privacy expectations.

On our marketing website, we may use tools like PostHog to analyze site traffic, which may include session replay or heatmaps. These tools are never active inside the app.

5. Data Sharing

We do not sell, rent, or trade personal data. We may share data only:

  • With the verified organization to which the user belongs
  • With a supervisor (only when a volunteer submits their info for verification)
  • With service providers (e.g. PostHog, MailerSend) who assist in delivering our service
  • If required by law or to comply with legal processes

6. Children's Privacy

While LogCycle may be used by students under 18, it is intended for use under adult supervision (e.g., by schools and school-appointed admins). We comply with:

  • COPPA: No child under 13 may use LogCycle directly unless under a school account created and monitored by authorized personnel.
  • FERPA: We act as a service provider to schools and will collaborate with districts to meet their data governance needs.

7. Data Security

We use modern security practices to protect your data, including:

  • HTTPS encryption
  • Role-based access control
  • Minimal data collection
  • Regular audits of access permissions

No system is 100% secure, but we take every reasonable step to protect user information.

8. Data Retention and Deletion

We retain data as long as your organization uses LogCycle. If your organization terminates service, we will:

  • Remove personal data upon written request
  • Retain non-personal, aggregate log data for historical usage analysis (if needed)

9. Your Rights

Depending on your role and the nature of your organization, you may:

  • Request a copy of your personal data
  • Request correction or deletion of inaccurate data
  • Contact your organization's admin to manage your information

10. Third-Party Services

We use third-party providers solely to deliver and improve our services. These include:

  • PostHog: Analytics (app + marketing site)
  • MailerSend / MailerLite: Email delivery
  • Hosting Provider (e.g. DigitalOcean): Application hosting

We carefully select vendors that are privacy-conscious and U.S.-compliant.

11. Changes to This Policy

We may revise this Privacy Policy from time to time. If we make significant changes, we will notify admins or post the new policy on our website and app.
